Preventing data loss

We cannot stress how important it is to regularly back up information stored on your computer. What would you do if you lost your e-mail address book (and all your messages)? 

What if your accounts for the last 7 years were to disappear; you lost all your digital photographs, copies of your electronically filed tax return or your crucial correspondence?

“Data loss is not an uncommon occurrence so be prepared” says Julian Goulding, Customer Support Advisor at Farmplan. “Data back-up is one of the most important, yet one of the most neglected areas of computing. Without data back-ups you are running the risk of losing your data. Many people think about backing up data when it’s too late! It should actually be at the top of your computer maintenance list.”

One of the most common causes of data loss is physical failure of the media the data is stored on. “If you have everything saved on your PC’s hard drive you should be aware that the hard drive is unlikely to last forever. The failure of a hard drive may happen gradually, or it might happen suddenly. It just dies without warning” Julian states. “Another possible cause of data loss is power failure or spikes which can result in the loss of your entire hard drive.”

Fortunately, backing up your essential files is neither difficult nor time-consuming. Simply copy the relevant files from your computer’s hard drive onto a storage device e.g. CD, Flashcards/Memory stick, Network drive, Data Traveller. Then, if possible, keep your back- up (or a copy of it) somewhere away from your office, perhaps at home.

Remember – you can replace your computer at any time so in the event of fire, theft or breakdown you can buy a new one. To replace data lost on that computer will, at best, require many hours of data entry and searching for information or, at worst, prove to be impossible.
